Summary of Responsibilities:

Performs administrative work of considerable difficulty and involving some independent judgment; general office duties. Will support both the Financial Advising and Accounting & Consulting Services departments with administrative duties.

Essential Functions:

  1. Prioritize all administrative duties relative to correspondence, tax return copying etc.
  2. Schedule appointments and make travel arrangements.
  3. Arrange for meetings and conferences, take notes as needed, order meals etc.
  4. Greet clients and escort to appropriate meeting place.
  5. Compose and type routine correspondence.
  6. Maintain files of correspondence and other records (scan, file, etc.)
  7. Create new client files as requested. Prepare new account paperwork for new/existing clients.
  8. Respond to client requests/inquiries regarding their accounts (via email and/or phone).
  9. Maintain performance reporting system (Orion).
  10. Prepare quarterly performance reports for clients. Run reports for advisors/partners as requested.
  11. Update, format, proof and assemble financial statements/reports, including binding.
  12. Data entry into financial planning software.
  13. Prepare and review quarterly billing for client accounts.
  14. Prepare monthly, quarterly and annual compliance materials.
  15. Correspond with vendors, custodians etc. regarding client accounts.
  16. Assist in processing tax returns.
  17. Prepare client extensions, analyze client edit lists.
  18. Assist in expense report preparation and retrieving team member hours for time and billing.
  19. Maintain WIP procedures and due date tracking for ACS department.
  20. Act as backup for receptionist and other duties as needed.


Required Experience and Skills:

  1. Ability to establish workload priorities and perform assigned tasks with minimal direction/supervision
  2. Current working knowledge of Microsoft Word, Excel, Outlook etc.; experience with Quickbooks a plus.
  3. Self-starter with lots of initiative
  4. Strong communication, planning, problem-solving and organizational skills
  5. Ability to manage several projects simultaneously and work with varied personalities
  6. Strong verbal and interpersonal skills
  7. Ability to maintain confidentiality
  8. Ability to work well either alone or as part of a team

  1. High school diploma required; bachelor's degree a plus but not required.
  2. At least 3 years' experience in general office/professional services environment; bookkeeping experience a plus.
  3. Ability to work overtime hours as required from January to April 15; may be in excess of 50 hours per week.
